HRA Annual Awards, terms and conditions
Terms and conditions for the 2025, HRA Annual Awards:
Please take time to read and understand these terms and conditions By submitting an online entry you are agreeing that you, and anyone else neccessary within your organisation, has read and understood the following.
- By making a submission all parties agree that any decision of the HRA or the Awards Panel is final.
- The awards are only available to be given to an HRA member organisation, or a recognised sub-group of an HRA organisation, or where applicable a recognised volunteer of the HRA Member organisation.
- The HRA Member shall be named in any citation. However the name of a sub-group may also be included, if requested, and if acting as part of their parent organisation.
- Separate submission forms shall be used for differing nominations. Permission must have been given by the organisation's senior management before any submission is made. This would normally be a Director, Trustee or General Manager.
- The owner, partial or otherwise, of any rolling stock, locomotive, or any other item, not wholly owned by the HRA Member organisation, must have given permission for their property to be nominated.
- An Award may be given to the same organisation two years in succession, but this must be for a substantially diverse attainment. The exception is for the Young Persons category, where a person may be re-nominated unless they have won the award previously.
- HRA Members that are in financial arrears to the HRA, by more than six-months at the time of the Panel meeting are not eligible for any Award.
- Should a winner not be a HRA Member, or have fallen into financial arrears to the HRA at the time of the Award Ceremony, then the winner shall automatically be the next best placed candidate.
- The Awards Panel shall make the final decision as to the categories in which submissions are placed.
- The Awards Panel shall determine whether or not submitted entries shall be placed on any short list.
- For every category, for a nomination to be valid, at least four high resolution still photographs 1MB to 5MB in size (jpg/ jpeg format) of the nominated subject must be emailed to accompany the online nomination form.
- If any other documents can be considered by the judging panel, this will be specifically referenced in the relevant nomination section. (PDF format only. Max size 5Mb.)
- The Awards Panel may require extra photographs, and if so, these will need to be provided in the timeframe requested, for the entry to remain valid.
- The HRA retains the right to publish, by any means, and at any time, any information and photographs provided.
- The interest in award categories will be monitored. If submissions do not reach a number suitable to have a separate award, they will be subsumed into other categories.
